TIPS:
When writing the goals, it’s helpful to keep the following tips in mind.
Goals should give your team something to reach for.
Goals must align with the company’s mission and strategy.
Goals must be clear and easy to understand.
Goals must be framed in time, with clear beginning and ending points.
Goals must be challenging, but achievable.
TASK 1: Work in group of four. Take turns to play the roles of senior manager and project leader. Set goals ( time, recourses and budget) together for each of the projects below:
Take responsibility for organizing the transfer of the company’s headquarter to a new location.
Prepare a one-week training course for senior executives.
Create a new company website.
Organized the company’s annual sales conference.
1/Creating a new company website

P: Good morning! Every thing is going to be ready.
S: Well. Could you tell me more details about time, resources and budget…or something for this project?
P: Yes, the project will be started to execute on 01/04/2013 and it will be completed on 01/06/2013.
S:Uhm, and how about the resources?
P: To execute the project we need to prepare web hosting; domain name, especially images, videos, flashes to advertise for your company.
S: Yes, I will show you some business activities as well as logo of my company.
P: Ok, the amount of money your company have to pay consist of: domain name cost, web hosting cost , designing website cost.
S: Can you show them in more details?
P: Well, the domain name cost is 200 VND/year, web hosting is 1 million/year, and the designing website cost is about 20 millions.
S: So how much we have to pay in total?
P: Let’s me see…… It’s about 34 millions for the project.
S: Ok, I wait for your project document.
P: Ok. I will send email you next Monday.
S: Ok, good bye
P: Bye.
Take responsibility for organizing the transfer of the company’s headquarter to a new location.
Project leader: Good morning, Sir. I am Nguyen Van A form K.A Home Transferring Company. Today I’m here for reporting AAA company’s headquarter transferring project.
Manager: Good morning! I am Nguyen Van B, Chief of General Co-ordination Office from AAA Company. I’m ready to listen to you.
Project leader: Your company’s headquarter will be transferred to 29 Nguyen Trai Street, 1 District. We will start from March 20th, 2013 and finish on March 24th, 2013. We’ll use five lorries with weight 2,5 tons and twenty staffs of our company to transfer office equipments to new location.
Manager: Do you assume responsibility for any damage caused by your offspring with our furniture?
Project leader: Of course, we will buy insurance, and don’t worry about it. The cost of insurance is 120 millions. Vehicle expense is 5 millions, staff cost is 10 millions, so the total is about 140 millions.
Manager: Ok. That’s perfect. I’m waiting for your email about the detailed plan.
Project leader: I’ll send you this Friday.
The senior manager has asked the project leader to prepare a one-week training course for senior executives
L: Good morning, sir.
M: Good morning. Have you had a planning for the project which I gave you 2 days ago?
L: Project for one-week training course for senior executives.
Oh…Yes. I made a plan for this clearly.
M: Alright. Let present it.
L: The schedule for course begins on March 1st and finishes on March 7st, 2013.
It will be organized in a meeting room of Seagull Hotel for 20 trainees. We also prepare a accommodation for professor.
Moreover, the facilities in the course must be served carefully. Specifically, a microphone, a projector, sound system in high quality.
We should send handouts before class hour.
I think that we need 15 severs to make the course successful.
Specially, renting a professor is the most important.
M: It sounds good. How much the budget for the project?
L: The total is about 50 millions dong ,including:
Professional cost: 10 millions dong.
Place: 10 millions dong.
Professorial accommodation cost: 3.5 millions dong.
Service charges: 10 millions dong.
Incidental expenses: 4.5 millions dong.
Vehicle expenses for professor : 2 millions dong.
M: How much will we pay for the allowance for trainees?
L: We will pay total 10 millions dong.
M: Great. Thank you so much.
I hope that our co-operation is successful.
L: I hope so. Good bye. See you later.
M: Bye.
Sales conference is similar to customer conference. It is an event in which company can talk to their customers directly. It is held by a company in order to meet potential to introduce the products that company provides to their customers.
The senior manager has asked project leader to organize the company’s annual sales conference.
M: Good morning sir!
L: Good morning!
Um…. I want to report about sales conference project which you talked a week ago.
M: Yeah, I willing to hear you.
L: It is occurred in march 9th, 2013 and lasted 2 days. We have investment total for this project about 220 millions dong.
M: Can you tell me detail about resources and budget?
L: Firstly, we will rent a showroom in 225 To Hien Thanh Street, 10 District, Ho Chi Minh City. It costs about 40 millions. Facilities for decorating spend about 30 millions.
M: Do we respond about inviting customers?
L: Of course, invitation cards cost 5 millions. And the important thing is advertisement services including posters, leaflets and media services. It takes 50 millions on budget.
We also hire 6 car models, an MC and 20 guards with 8 millions for guards, 6 millions for models and 3 millions for MC. Moreover, we need to pay 12 millions for 20 servers. Have you got it?
M: Yes, I see. I carry out immediately.
Goodbye. See you later.
L: Goodbye. Have good job.
TASK 2:
Work in pairs. Brainstorm ideas for a project that you would like to initiate. Draw up a brief outline and discuss your project with another pair.
Project: Building a Trading center in Nha Trang city.
4 steps to make a project:
* Prepare a project overview : location( the west south Nha Trang city, near Cau Dua bridge), contractor, designer, budget,…
* validate the project: from 6/2013 to 6/2016
Step 1
Step 2: Plan
* Select the project team: A company will contract this project. Besides, they also combine with some organizations to ensure the best condition for building.
* Forecast costs: about 70 billions
* Evaluate the risk factor: arising money, bad weather, …
* Allocate resources: designer (100 millions), buying materials (30 billions), decoration (30 billions), paying for workers (900 millions).
Step 3:
Execute/ Control:
Launch a pilot project: date to begin the construction is 1/6/2013
Obtain status reports: report the real situation of the project.
ex: we are building the second floor, everything is ok…
Step 4:
Close
Review the result
Deliver the project
TASK 3: Choose one of the project in the speaking task 1 and write an email to your team, summarizing the goals that you agree on which your manager.
Suggestions:
* Before start to write, ask yourself two questions:
What is the purpose of this piece of writing?
Who am I writing to?

RESPECTING DEADLINES
CULTURE AT WORK
Time is one of the most precious commodities in today’s modern world; however in different cultures, attitudes to time are different and it is not always considered essential to respect a deadline. In general, most countries belong to two following cultures: Sequential culture and Synchronic culture.
SEQUENTIAL CULTURE
Sequential culture : time is dealt with in a specific logical order. People in this culture rely on this structure and can find a more flexible approach to time frustrating. Time tends to control and influence what people do, and many will find value in the expression “ time is money”.
SYNCHRONIC CULTURE
Synchronic culture: people belonging to this culture will have a much broader and more flexible perception of time . As such time is adaptable and allows much more freedom for tasks to be achieved. People from synchronic culture don’t tend to be slaves to time but rather they use time as a guidance for how they structure their day and life. Some countries belonging to this culture are such as: South America, Southern Europe and Asia.
Now we study 2 typical representatives of two cultures . America represents Sequential culture and Indian represents Synchronic culture.
AMERICA
Americans believe in setting strict deadlines and timetables, even for casual social events
It is important to be on time for appointments even being 5 minutes late without calling beforehand may doom an interview or important business meeting.
INDIAN
Indian society is concerned with relationships so there may be instances where there is some flexibility to strict standards of adhering to schedules.
Indian work long hours and spread it over. Deadlines are important , but people tend to negotiate with boss, being on time is important but not strictly followed.
Some features to distinguish the difference between Sequential culture and Synchronic culture.
ATTITUDES TO TIME AND DEADLINES IN VIET NAM
Read these following features about Viet Nam and decide which culture does it belong (Sequential culture or Synchronic culture)?
Viet Nam is very relaxed with its attitude towards schedules and timelines. Vietnamese will not upset others in order to force meeting a deadline, and while appointments and schedules need to be set in advance, these should be viewed as flexible . Patience is a necessary attribute to successful cross culture management in Viet Nam
We have studied attitudes to time and deadlines in some different cultures, and now we continue watching a video which express cultures at work ( punctuality) of some countries.
Dilemma: Test crisis
Task 1:
Work in group of four. Student A turn to page 137, student B turn to page 138, student C turn to page 140, student D turn to page 142.
Prepare the arguments that you will use in favour of your solution.
Assume similar costing for each solution.
Task 2:
Attend the meeting with your colleagues. Take turns to present your solution. Then, as a group, agree on the course of action that you would choose and appoint a project manager to implement the solution.
STUDENT A:
One option is to purchase and install additional testing machinery at the factory in France to handle the additional production. You have estimate that they could be delivered within three months and installed in one to two weeks.
Assuming costing: 700million Euros
A
STUDENT B:
You think that a good long-term option would be to use an outside company and to conduct all testing externally. You know that there are several organisations that could do the work for you. Infineon would have to pay a fixed rate for each item to be tested. In addition to that there be a set fee for reserving test capacity – in other words, Infineon would have to pay even when they had no need for the extra testing capacity.
Assuming costing:
800 million Euros
B
STUDENT C:
You are in favour of setting up a new, centralised testing plant that would handle all the testing for all the Infineon plants. The advantage would be that all testing could be planned centrally and co-ordinated with the other plants in the group. You do not yet have a precise figure for the investment that would have to be made to build, equip and staff the new facility. This will require futher research.
Assuming costing: 900million Euros
C
STUDENT D:
Since all of the existing factories have their own test equipment you think that it should be possible to introduce a new process whereby products to be tested could be “offloaded”, or sent, to another factory which has available excess testing capacity. This would require standardisation of test procedures across the group, the development of an information system to transmit data to the relevant production plants and the setting up of transport and logistics.
D
Assuming costing: 500million Euros
